Terms and Conditions
Thank you for booking with Browns Vehicle Hire Ltd.
In these terms and conditions “Browns Vehicle Hire” means a company registered in Scotland trading under Staycation Glasgow Campers Ltd with company number SC692196, and “Hirer” means the person or persons who hire a vehicle from Browns Vehicle Hire LTD under these terms and conditions of rental.
Collection of the Vehicle must be no earlier than the requested time at the point of booking unless prior agreed with us. This is due to our tight schedule of cleaning and preparing our vehicles to a high standard,
Return of the vehicle must be no later than 30 mins of the agreed return time considering time for the car wash, unless prior agreed with us. You will be charged for late return.
DRIVING CONDITIONS:
No driver may drive a hire vehicle unless:
- They are 23 – 75 and must have held a full UK licence for at least two years.
- The named driver must inform us of any past, previous, or pending endorsements on their licence.
Our insurance company may also ask for your occupation.
You must inform us if you suffer from any physical or mental impairment which would affect the driver’s ability to drive the vehicle in accordance with legal requirements and/or the driver has not been advised not to drive on medical grounds by the driver’s G.P. or other medical personnel.
Our insurance company requires the following documentation before they will approve to insure your scheduled hire.
- Copy of the photo card drivers’ licence (address & ID must be up to date)
- Upload a copy of driving Summary for UK Mainland drivers only, available on DVLA website, no earlier than 21 days before departure. Non Uk we require a copy of your passport.
- Two separate sources of proof of address, list provided what’s acceptable when uploading your documents, must be within 90 days of departure.
Note the proof of ID name and address must match what’s on your driving licence.
Without this document being provided within the set agreed timetable we have the right to cancel your booking and any monies paid would not be refunded.
You are responsible for any motoring offences during your hire, we have an obligation to pass on your details to the DVLA once we have been informed by the authorities. An admin fee for this will be charged to you of £25 per offence.
- Only named drivers can drive the vehicles.
- Additional drivers can be added at £10 per day.
Any accident involving our vehicle must be reported to us and the relevant police authority as soon as is reasonably possible. You must not admit guilt or liability
Police should be notified immediately if there are others involved, vehicle, property, or person. Unsure contact the police for guidance.
Names, addresses, insurance details and vehicle information of all third parties must be obtained at the time of the accident and best endeavours must be made to obtain the names and addresses of any witnesses.

The Hirer must not abandon the Vehicle without taking adequate steps to prevent further damage, loss or contravention of traffic regulations or the law of Scotland.
Every effort is made to ensure that the Vehicle is in a safe and roadworthy condition before it leaves the premises, but Brown vehicle hire shall be under no liability for third party claims or damages arising in connection with, or as a consequence of, any breakdown or accident.
Driving Oversees:
Taking the vehicle outside of the UK needs to be agreed pre hire with our insurance company. While we welcome people traveling outside UK, our insurance company ultimately have the final decision. This decision is final and cannot be appealed, all monies paid would be refunded.
SECURITY DEPOSIT:
A security deposit of £200 will be taken on collection of your camper van. This will be refunded to your original method of payment within 7-10 days working days providing the vehicle is brought back in the same condition as it was when it left and the terms and conditions are met.
FUEL:
Our fuel policy is full to full. There will be a full tank of fuel in the camper van on collection and we ask you to return it also with a full tank. There are petrol stations nearby our depot. Failure to return the van without a full tank of fuel will result in a charge of the missing fuel at the current price of the petrol station plus a fee of £25.
BOOKING AND PAYMENT:
Where a booking is made using our online booking system, the hirer will receive a system generated booking summary to the email address which they have provided. This email summary does not constitute a contract between the hirer and Browns vehicle hire LTD. A contract will only be binding when a subsequent confirmation email is sent by Browns vehicle hire to the hirer.
The Vehicle will not be released before payment and receipt by Browns Vehicle Hire Ltd until the full rental cost and security deposit paid.
We can accept cash for the booking paid upon arrival, but the security deposit must be paid by Credit/debit card.
We accept all major credit and debit cards. We do not accept cheques.
GENERAL DATA PROTECTION REGULATION (GDPR)
All personal information will be kept safely and securely for the duration of your trip. All personal information will be destroyed/deleted up to 48 hours after the last day of hire.
CANCELLATION POLICY:
We strongly advise that you take out your own insurance against unavoidable cancellation.
We offer refundable and non-refundable hires. Refundable hires can be cancelled, but the minimum notice should be 24 hours prior to departure. Non-refundable is our special rate and no refund is eligible should you decide to cancel.
We reserve the right to cancel your booking should you not meet the following criteria:
- Failure to pay in full prior to your departure.
- If any information you have provided us with at booking is incorrect or invalid.
- When collection vehicle, all documentation must match the booking details you
Insurance for contents:
We strongly recommend that you take out adequate insurance for contents. It is your responsibility to ensure that the insurance you purchase is adequate for your needs. We do not check insurance policies.
Personal belongings are not covered under our insurance. We recommend that you take out your own travel insurance.
LATE FEES ON RETURNING VEHICLE:
Late fees on returning vehicle – you must contact us if you believe you will be late so we can contact our insurance providers. Contact us 0141 501 0367 or by email admin@staycationscotlandcampers.com , Facebook or Instagram.
There will be a £25 late fee charged along with any additional insurance fees occurred by our insurers for additional time insured.
Child Seats:
Regulations govern the use of child car seats in the United Kingdom requiring every child traveling in the vehicle to be seated using specified restraints in all circumstances where the child is under 135cm or 12 years of age. It is the Hirer’s responsibility to ensure that necessary child seats are used in the Vehicle if carrying children. Child seats are available to hire from Browns Vehicle Hire if required.
Smoking and Pets:
Smoking is not permitted in any vehicle. Pets are not permitted in any vehicle.
Any breach of these terms will result in a one hundred pounds (£100) charge which will be deducted from the security deposit.
Limitation of Liabilities:
We accept no liability for replacement vehicle costs, travel or accommodation costs or any other consequential loss claims arising from the breakdown of the Vehicle, fair wear and tear excepted, or any accident or other such related causes.
Browns vehicle hire will not be liable for any costs and expenses incurred for speeding, parking fines, congestion charges and for any other offences committed against the Road Traffic Act or traffic regulations or otherwise.
Your responsibilities:
(i) You must look after the vehicle and its keys. You must always lock the vehicle when you are not using it and use any security device supplied with the vehicle. You are uninsured in respect of and must personally indemnify the Company for all costs and losses, including, but not limited to, recovery costs, losses, or repair costs, caused by the following matters, for which you are hereby responsible:
a. failure to return keys to the rental branch on time or at all;
b bad weather, as you must always protect the vehicle against weather severe enough to cause vehicle damage;
c. failure to use the correct fuel;
d. failure to maintain correct vehicle fluid levels and tyre pressures;
e. hitting low-level objects, including low tree branches or height-restriction devices;
f. failure to return the vehicle to it’s in the condition in which it was at its pre-rental inspection and damage to the exterior and interior of it while in your possession; provided that.
g. damage to the exterior and interior of the vehicle while in your possession if the damage is covered by insurance, you shall be required to pay the cost to the Company of repair up to the amount of the excess only.
g. loss or damage to equipment supplied (whether hired to you or supplied free of charge) at the time of rental, including, but not limited to, satellite navigation equipment, baby seats and other goods separate from the vehicle itself.
(ii) You must not sell, rent, lend or dispose of the whole vehicle or any of its parts.
(iii) You must not give anyone any legal rights over the vehicle.
(iv)You must not let anyone work on the vehicle without our permission. If we give permission, we will only refund its cost if you supplied a receipt proving the cost of the work.
(v) You must tell us of any fault in the vehicle as soon as you notice it.
(v) You must return the vehicle to the place specified in the rental agreement, during the opening hours displayed at that place. You must request our staff to inspect the vehicle to check its condition on return, and you remain responsible for the vehicle until it has been so checked. If we have agreed that you may return the vehicle outside business hours with our agreement, you will remain responsible for the vehicle and its condition until it is re-first inspected by our staff on the first working day following its return.
(vi)bringing the vehicle back to the condition stated in the pre rental inspection report. Before you bring back you must return the vehicle empty of all goods and things which you and others put into it.
(vii) You must not allow any unauthorised person to drive the vehicle. Authorized persons are those named on this agreement or authorized by the company on the rental agreement.
(viii) You are responsible for all costs incurred through your negligence, in the event that the Insurer avoids your insurance cover or refuses to indemnify you for any reason: for example, damage to clutch.
(viiii). The Hirer shall be solely responsible for the costs of repair and or replacement as necessary in relation to damage to windscreen, tyres, and punctures.
Mileage:
Milage is set at 200 miles per day, additional millage is charged at £0.15 per mile.
Availability:
Browns vehicle hire will use all reasonable endeavours to ensure that the Vehicle that you have booked is available at the agreed date and time. Occasionally, vehicles are returned damaged and if the damage is too great for us to repair on time, we may need to offer a substitute. If this is vehicle not acceptable to you, or no other van is available, then we will refund all sums that you have paid. The liability of Browns Vehicle Hire will be limited to the refund of monies paid and the Hirer will have no further claims against Browns Vehicle Hire.
